1. Who We Are
LabelZoom is a barcode-label conversion, rendering, and design platform operated by RJF Technology Solutions LLC (“RJF,” “we,” “us”), 18911 Hardy Oak Blvd Ste 322, San Antonio, TX 78258, USA. 2. Scope
This policy explains how we collect, use, disclose, and safeguard information across the LabelZoom Services: our websites and documentation, the web application and design tools, our public API and SDKs, desktop and agent software, and our support, sales, and community channels. It does not cover third-party products you may integrate with LabelZoom, which are governed by their own terms.
For customers who process personal data through the Services in the course of their own business, RJF acts as a data processor on your behalf, and our Data Processing Addendum governs that relationship. A DPA is available to enterprise customers on request.
3. Information We Collect
Information you provide. Account and contact details (name, business email, company, role, phone), billing and subscription information, support correspondence, and content you submit through community or feedback channels.
Label and conversion content. The label files, templates, and data payloads you submit to be converted, rendered, or designed. This content is described in Section 5.
Information collected automatically. Standard technical and usage data such as IP address, device and browser characteristics, approximate geographic region derived from network information, feature usage, and diagnostic and error telemetry that helps us keep the Services reliable and secure.
Cookies and similar technologies. We use cookies and comparable technologies for authentication, session management, security, preference storage, and aggregate analytics. You can control non-essential cookies through your browser or our cookie controls; disabling essential cookies may affect functionality.
4. How We Use Information
We use information to provide, operate, secure, and improve the Services; to authenticate users and enforce licensing and usage limits; to process transactions and manage subscriptions; to provide support; to detect, prevent, and investigate fraud, abuse, and security incidents; to communicate service and account notices; to send marketing communications where permitted (which you can opt out of at any time); and to comply with legal obligations and enforce our agreements.
We do not sell your personal data, and we do not use the label or conversion content you submit to train machine-learning models or for advertising.
5. How We Handle Label & Conversion Content
For our generally available Services, conversion and rendering are designed to be stateless and ephemeral. Label content submitted to the conversion pipeline is processed in memory to produce the requested output and is not retained as part of that transaction once the response is returned. Content is processed in transit under encryption, logically isolated to your account and license, and treated as confidential customer data.
Where a feature you have enabled requires content to persist — for example, saved designs, stored templates, or account-scoped project storage — it is retained under your account and governed by Section 8.
Beta and preview programs. Certain early-access offerings, including our public API beta, are provided free of charge to help us improve conversion and rendering quality. When you use these clearly identified beta programs, we may retain submitted label content and use it to test, diagnose, and improve rendering accuracy. This content is used only to improve the Services — never to train advertising models, and never sold or shared for others’ independent use — and we minimize and de-identify it where practical. Retention under beta programs does not apply to paid plans or to content processed under a Data Processing Addendum, and participants can request that their content be excluded or deleted by contacting [email protected].
6. How We Share Information
We share information only as needed to run the business:
- Service providers (subprocessors). We engage reputable providers for cloud hosting and edge delivery, database and storage infrastructure, payment processing, email and communications, analytics, and error monitoring. These providers process data on our behalf under contractual confidentiality and data-protection obligations, and only for the purposes we specify. A current list of subprocessors is available to enterprise customers on request.
- Payments. Payment card details are handled directly by our PCI-compliant payment processor; we do not store full card numbers on our systems.
- Legal and safety. We may disclose information where required by law or legal process, or to protect the rights, safety, and security of our users, our platform, or the public.
- Business transfers. If RJF is involved in a merger, acquisition, or asset sale, information may transfer as part of that transaction, subject to this policy.
7. Security
We maintain administrative, technical, and organizational safeguards appropriate to the sensitivity of the data we handle. These include:
- Encryption in transit using current TLS standards, and encryption at rest for stored data.
- Modern authentication, including token-based and single-sign-on options for eligible plans, with credentials stored using strong one-way hashing.
- Least-privilege access controls and segregation of production systems, so that access to customer data is limited to personnel who require it.
- Network and edge protections, including rate limiting and abuse detection, and restriction of origin infrastructure to trusted network paths.
- Continuous monitoring, logging, and error tracking to detect and respond to anomalies.
No system is perfectly secure, but we work to align our practices with recognized industry standards and to improve them over time. In the event of a data breach affecting your personal data, we will notify affected customers and regulators as required by applicable law.
8. Data Retention
We retain personal data only as long as necessary for the purposes described in this policy, to provide the Services, to meet legal, tax, and accounting obligations, and to resolve disputes and enforce agreements. Account and billing records are retained for the life of the account and for a limited period afterward as required by law. Ephemeral conversion content is not retained beyond the transaction (Section 5). Saved designs and account-scoped content are retained until you or your administrator delete them or close the account, after which they are deleted or anonymized within a commercially reasonable period.
9. International Data Transfers
The Services are operated from the United States and delivered through globally distributed infrastructure, so your information may be processed in the United States and other countries. Where required, we rely on appropriate safeguards — such as Standard Contractual Clauses — for cross-border transfers of personal data.
10. Your Rights
Depending on your location, you may have rights to access, correct, export, restrict, or delete your personal data, to object to certain processing, and to withdraw consent. Enterprise customers can typically exercise access, export, and deletion for their end users through account administration tools or by contacting us. To make a request, email [email protected]; we will respond within the timeframes required by applicable law and may need to verify your identity first. We honor these rights regardless of whether a specific regional law applies to you, except where we are legally required to retain certain information.
11. Children’s Privacy
The Services are intended for business use and are not directed to children under 16. We do not knowingly collect personal data from children.
12. Changes to This Policy
We may update this policy to reflect changes in our practices, technology, or legal obligations. Material changes will be communicated through the Services or by other appropriate means, and the “Last Updated” date above will always reflect the current version.
